Studio & On-Location Photography Bookings
1. Booking & Deposit

A non-refundable deposit is required to confirm your booking. Until this deposit is received, the booking is not secured.

The remaining balance is due on or before the date of the photoshoot.
2. Rescheduling & Cancellations
-
Bookings can be rescheduled with a minimum of 48 hours’ notice, subject to availability.
-
If less than 48 hours’ notice is given, the deposit will be forfeited, and a new deposit will be required for a future booking.
-
Cancellations do not qualify for a deposit refund.
3. Studio Bookings (Individual Headshots & Personal Branding)

Session Timing & Late Arrivals:
-
Sessions will begin at the scheduled time. If the client arrives late, the session time cannot be extended unless additional fees are paid.

Session time can only be extended where necessary and possible, at the photographer’s discretion.

Creative Style & Retouching:
-
The photographer is responsible for ensuring that the creative style remains consistent with the current portfolio that the client has seen.
-
New looks and styles may be explored at the photographer’s discretion, with the best interest of promoting the client and meeting agreed objectives.
-
Additional retouching requests beyond the agreed package may incur additional fees.
-
Social Media & Credit:
-
Sharing images on social media is encouraged, and crediting/tagging (@headshottoby) is always appreciated.
-
Please do not apply filters, airbrushing, or alterations to the images before sharing. Contact the photographer for any additional retouching requests.
4. On-Location Business Branding & Team Headshots
Workspace Readiness & Organisation:

The location must be tidy, organised, and in a state ready to be photographed upon the photographer’s arrival.
-
Any major setup, clearing, or reorganisation required may result in less photography time and will not be compensated with extended time.

Employee/Personnel Awareness & Consent:
-
All employees and personnel who will be photographed must be informed in advance.
-
It is the client’s responsibility to obtain verbal or written consent from all individuals involved in the session.
Scheduling & Delays:

The photographer is not responsible for delays caused by personnel being unavailable due to meetings, calls, or other commitments.

The scheduled session time cannot be extended due to such delays, especially where travel is involved. If additional time is required, it may incur additional charges.
Travel & Location Fees:

On-location bookings outside [insert radius, e.g., 20 miles of Lincoln] may be subject to additional travel fees.
5. Copyright & Image Usage

The copyright of all images remains with the photographer (Headshot Toby).
-
The client is granted a license to use the images for personal or business promotional purposes (e.g., websites, social media, marketing materials).
-
Images must not be edited, altered, or modified (e.g., applying filters, airbrushing, or retouching) by the client or third parties. If additional edits are required, please contact the photographer.

Images may not be sold, used for third-party commercial purposes (e.g., stock photography, resale), or sub-licensed without prior written consent.
6. Press & Print Publications

If images are to be featured in print publications or press platforms, the client must contact hello@headshottoby.co.uk before publishing.

An additional licensing fee may apply, and images should be credited accordingly.
7. Studio & On-Location Conduct & Liability

Clients must respect studio equipment and space. Any damage caused to equipment or props due to negligence may be chargeable.

The photographer is not liable for any injuries, accidents, or property damage during the shoot.
8. Force Majeure
-
In the event of unforeseen circumstances (e.g., severe weather, illness, equipment failure), the photographer reserves the right to reschedule the session. Deposits will be transferred to the rescheduled date.
